Overview

TISTA is looking for a Proposal Coordinator to join our Growth Team. The ideal candidate has a strong background in proposal coordination and administration for federal and state proposals for clients such as VA, HHS, USDA, and DHS. The Proposal Coordinator is responsible for supporting the proposal development process within the organization. This role involves coordinating proposal activities, managing timelines, and ensuring the timely and compliant submission of proposals to government and commercial clients. The Proposal Coordinator works closely with the proposal team, subject matter experts, and other stakeholders to produce high-quality, competitive proposals that align with the company’s strategic objectives.

Responsibilities

  • Assist in the preparation and organization of proposal documents, including writing, editing, formatting, and proofreading.
  • Coordinate the collection of proposal inputs from various team members and ensure all content is complete and accurate.
  • Take detailed notes at proposal meetings, including kick-off meetings, review sessions, and debriefs.
  • Track and report on proposal progress and status to the proposal manager and senior management.
  • Ensure proposals comply with all solicitation requirements, including formatting, content, and submission guidelines.
  • Conduct quality checks to ensure proposals are free of errors and inconsistencies.
  • Collaborate with subject matter experts, graphic designers, and other team members to develop proposal content.
  • Coordinate with subcontractors and partners to gather necessary proposal inputs and commitments.
  • Maintain proposal databases and repositories, ensuring all information is up-to-date and accessible.
  • Utilize proposal management software and tools to streamline the proposal development process.
  • Assist in the development and implementation of proposals best practices and process improvements.
  • Participate in post-submission debriefs to gather lessons learned and improve future proposal efforts.

Qualifications

  • 3+ years of relevant experience working in the Federal Government or GovCon environment.
  • Articulate communication style to establish and maintain collaboration with internal and external customers/partners.
  • Strong working knowledge of MS Office and Adobe Suite.
  • Familiarity with proposal management software (e.g., SharePoint, MS Teams, or similar tools) is a plus.
  • Ability to adapt to new, technology-driven tools (e.g., AI tools).
  • Ability to understand customer goals, RFP requirements in order to deliver compelling and compliant proposals.
  • Strong oral and written communication skills.
  • Self-motivation and flexibility to work on multiple competing priorities.
  • Positive and proactive can-do attitude and approach.
  • Must be a team player that proactively engages in a positive manner in all phases of the business development life cycle.
  • Attention to detail and strong organizational skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Ability to interact effectively with all levels of an organization.

 

Education:

  • Undergraduate degree from accredited college or university in related field or majoring in English

Location:

  • Remote and may commute to Rockville, MD as required

Salary Information: 

  • The pay for this position ranges from $80,000 to $92,500.
  • The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, and location.
  • Also, certain positions are eligible for additional forms of compensation, such as bonuses.
